Privacy Policy
Houndseer ("Houndseer", "we", "us") provides delivery-platform payout auditing software for restaurants and food-service businesses (the "Service"), covering DoorDash, GrubHub, and UberEats. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
Information We Collect
When you use the Service, we collect:
- Payout statement data — CSV payout statements from DoorDash, GrubHub, and UberEats, whether emailed to your Houndseer inbox address or uploaded manually, including per-order figures (subtotals, commissions, fees, refunds, adjustments).
- Bank connection data — if you connect a bank account via Plaid, we receive read-only access to transaction data (not credentials) in order to match delivery-platform deposits against your payout statements. We never see or store your online banking username or password; that exchange happens directly between you and Plaid.
- Email inbox access — Houndseer connects to a dedicated inbox (not your personal email account) via IMAP to retrieve payout statement emails automatically.
- Account information — username, password (stored as a salted hash), and basic account/restaurant settings, including your commission tier per platform.
- Usage data — log data such as request timestamps and error events, used to operate and secure the Service.
How We Use Your Information
We use the information above to:
- Parse your payout statements and check them against your contracted commission rates.
- Detect discrepancies such as refunds charged a commission, tier/rate mismatches, order-type miscategorization, and unexplained adjustments.
- Compare delivery-platform deposits (via Plaid) against expected net proceeds to flag shortfalls.
- Generate dispute-ready summaries you can submit to the relevant platform.
- Maintain, secure, and improve the Service.
We do not sell your data, and we do not use your payout or banking data to train third-party models.
Data Storage and Security
Your data is stored in a PostgreSQL database. Bank connection tokens are encrypted at rest and are never stored or transmitted in plaintext. Access to production data is restricted to the personnel who need it to operate and support the Service. We use industry-standard measures, including transport encryption (HTTPS/TLS) for data in transit and rate limiting to guard against abuse. No method of storage or transmission is perfectly secure, and we cannot guarantee absolute security.
Third-Party Service Providers
We share data with a limited number of third-party providers strictly to operate the Service: Plaid, for secure bank account connections and transaction data; and your email provider, accessed via IMAP solely to retrieve payout statement attachments. These providers are contractually restricted (Plaid) or configured (email) to be used only for providing services to you through Houndseer.
Your Rights
You may request to:
- Access or export the data associated with your account.
- Delete specific payout statements or data.
- Disconnect your bank account at any time from Settings, which revokes Houndseer's access via Plaid immediately.
- Close your account, which will result in deletion of your account data within 30 days, except where we are required to retain records for legal, tax, or accounting purposes.

Data Retention
We retain your data for as long as your account is active. Following account closure, data is deleted within 30 days, subject to the legal-retention exception noted above.
Children's Privacy
The Service is intended for business use and is not directed to individuals under 18. We do not knowingly collect information from children.
Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by an updated effective date at the top of this page.
